At Grimley Flooring, we embrace modern technology to improve the service we deliver — and that includes the responsible use of artificial intelligence (AI). This policy explains how and why we use AI, what we don’t use it for, and how we keep your data safe.

How We Use AI

We use AI tools behind the scenes to support several areas of our business, helping us work faster and smarter — without compromising quality or personal service.

The following are examples of how we currently use AI, though this may expand over time as new tools become relevant. We’ll always apply the same principles of human oversight and transparency.

Current uses include:

  • Writing and refining content for our website, blog, and social media
  • Analysing internal data such as conversion tracking, lead sources, and job profitability
  • Drafting and improving internal documents like policies and staff guidelines
  • Creating initial drafts of client-facing communication, such as follow-up emails and appointment reminders
  • Speeding up estimate preparation by helping word technical line items based on project descriptions
  • Generating visual content (images or short videos) to help illustrate flooring processes, tips, or transformations

Any AI-generated content — whether text, image, or video — is always reviewed and approved by a human before it’s used publicly.

What We Don’t Use AI For (and What We Do Carefully)

We don’t use AI to:

  • Automatically calculate final prices or generate standalone quotes
  • Make decisions about what products or services are suitable for your space
  • Replace human judgement when it comes to fitting, timelines, or technical advice

We may use AI to help draft estimate line items based on a description you’ve provided — for example, to speed up the wording of a multi-room quote or suggest layout options. Every estimate is still personally reviewed, adjusted, and approved by Simon before it’s sent.

If something’s not right, you can always ask for clarification — and you’ll always speak to a real person.

Where we use AI-generated images, videos, or chat-based tools, they’ll be clearly marked so it’s always clear what’s been created using AI and what hasn’t.

Data Privacy and Security

Your trust matters to us. That’s why we:

  • Never enter personal, financial, or sensitive customer information into AI systems
  • Strip out any identifying details when using AI to draft emails or content
  • Only use platforms that comply with UK GDPR and relevant data protection laws

All customer communications, records, and data are managed and stored securely within our approved systems.

Our Commitment to Ethical Use

We stay informed on the ethical and legal responsibilities of using AI in business. As part of this, Simon Grimley has completed the AI Essentials Certificate from Advantage AI, scoring 100% on the knowledge assessment.

This ensures we understand not just how to use AI — but when it’s appropriate, where human judgement is essential, and how to use it to improve your experience, not replace it.
